Four practical examples: cleaning, property management, tradespeople and gardening

1. Cleaning: Come home to a clean house

A cleaner visits regularly, but the homeowner is often at work or out when they arrive. With a secure key safe, there is no need to rush home, wait around for the cleaner or arrange a key handover. The cleaner enters the code, takes the house key and returns it to the safe afterwards. The homeowner gets on with their day and comes home to a clean house. Nobody has to carry an extra set of house keys, collect them or return them between visits.

2. Property management: Maintenance and emergencies without key handovers

I rent out several houses in the UK. Each property has two key safes specifically for maintenance and emergency access: one for the people who work directly for me, and a second for the managing agent, their staff and the contractors they appoint.

The managing agent also deals with emergency problems, so having a key safe at the property saves a considerable amount of time, especially out of hours. If a plumber, electrician or other contractor has to attend late at night, they can go directly to the property and be given the code. There is no need to collect keys from the managing agent first and return them afterwards, and the managing agent does not have to organise a physical key handover.

The same system is useful for unplanned visits. Recently, the gas company needed access to one of the properties to check the meter when I was not available. They were perfectly happy to use the key safe to gain access.

The key advantage: the keys stay at the property. Authorised people can be given access when it is actually needed, whether that is routine maintenance during the day or an urgent call-out late at night.

Why two key safes can make sense

For managed rental properties, separating access can be useful. One safe can be reserved for the owner’s own maintenance people, while the second is used by the managing agent and their contractors. That means the two groups do not need to share the same code or the same set of keys.

3. Tradesperson: They arrive, but you are not there

You have arranged for an electrician, plumber or another tradesperson to do some work. They have visited before, know the property and know exactly what needs doing. But on the day you have forgotten the appointment, you are stuck in traffic or something unexpected has come up. Your phone rings: “I’m here, but there’s nobody home.” No problem. Simply give them the key safe code over the phone or send it by text. They can get inside and start work without you having to rush home, rearrange the appointment or waste their time. Afterwards, the spare key stays securely at the property. You can also change the key safe code afterwards if you wish.

4. Gardening: Why the gardener did not want to keep the keys

My mother has two key safes at home. One holds the house key for her cleaner, while the other holds the keys her gardener needs to get into the back garden. He only comes occasionally to cut the grass, and sometimes my mother cannot be there to let him in. She could have given him a set of keys, but he did not want them. He works exclusively for elderly customers and does not want the responsibility of keeping track of keys for lots of different households. Instead, he enters the code, takes the keys he needs and puts them back afterwards. He does not have access to the house. If he forgets the code, my mother can remind him by phone or text, or give him the new code if she has changed it.
